Managing Contractors and Service Providers

Well Kept helps you maintain a directory of trusted contractors and service providers for your home.


Adding a Contractor

  1. Navigate to the Contractors section.

  2. Click "Add Contractor".

  3. Enter the details:

    • Enter the business or individual name of the contractor.

    • Specify their trade or specialty, such as Plumber, Electrician, or HVAC.

    • Add their phone number, email address, and website for easy contact.

    • Record the service location or office address.

    • Input their license number if applicable.

    • Write any important details in the notes section.

    • Assign a personal rating from 1 to 5 stars.


Contractor Limits by Plan

  • The Free Plan allows you to save up to 5 different contractors.

  • Premium and Lifetime plans allow for an unlimited number of contractors.


Linking Contractors to Maintenance Tasks

When creating a maintenance task:

  1. Select "Assign to Contractor".

  2. Choose from your contractor list.

  3. The task will include the contractor's contact info.

  4. This provides easy reference when scheduling work.


Tracking Service History

For each contractor, view:

  • See when they last performed work for you.

  • Review what tasks they have completed.

  • Track the total amount paid to them.

  • View linked maintenance tasks.

  • Access your notes and ratings.


Recording Contractor Expenses

When a contractor completes work:

  1. Add an expense for the service.

  2. Link it to the contractor.

  3. Upload the invoice or receipt.

  4. Track spending per contractor over time.


Finding Contractors You've Used

  • Search by trade or specialty.

  • Filter your list by rating.

  • Sort by most recently used.

  • View contact details quickly.


Sharing Contractor Info with Household Members

All household members can:

  • View the contractor directory.

  • Add contractors they have used.

  • Update contact information.

  • Add ratings and reviews.


Best Practices

  • Add contractors immediately after using them for the first time.

  • Include license numbers for licensed trades.

  • Store business cards or invoices with each contractor entry.

  • Update contact info if they change.

  • Add detailed notes about work quality and pricing.
